PENCIL in New York, NY, is seeking to hire an experienced, enthusiastic professional to fill the newly created position of Director, Finance/Administration. The position's primary responsibility is to manage PENCIL's finances while also ensuring smooth administrative administration throughout the office.

THE ORGANIZATION PENCIL, founded in 1995, develops and supports customized relationships between business and public school leaders to inspire innovation and transform public schools. Our team of Partnership Coordinators supports these relationships as they focus on developing strong leaders, building school capacity, and enhancing the learning experience throughout the NYC public school system. In addition to the expertise brought into the school through PENCIL's programs, PENCIL has been a catalyst for millions of dollars worth of donations to the schools. As a result of this work, PENCIL has become one of the leading non-profits in New York City focused on improving public education and has launched programs in two additional cities.

PENCIL is based in the Flatiron district of Manhattan and currently has a staff of 17 and a budget of about $2.5 million.

THE POSITION AND ITS PRINCIPAL RESPONSIBILITIES The Director of Finance/Administration is a new position necessitated by PENCIL's growth in recent years. As a member of the organization's senior management, the selected candidate will ensure that all financial matters are attended to while also ensuring that the administrative infrastructure is in place to enable the team to focus on improving public education in the cities PENCIL serves.

The position reports directly to the President and will have direct oversight of two employees - the Office Manager and the Database/Technology Manager. However, PENCIL is an extremely collaborative environment and, therefore, the Director will collaborate closely with the rest of the senior management team (two Vice Presidents and one Director) regarding day-to-day administrative issues as well as in the development of broader strategic plans. The Director will also oversee interns and a variety of outside vendors, including PENCIL's auditor, insurance broker, technology consultant, cleaning companies, etc.

Principal Responsibilities include: -- Managing and maintaining PENCIL's books via QuickBooks. -- Managing and processing accounts payable and accounts receivable, with assistance from the Office Manager. -- Preparing quarterly reports (P/L, Balance Sheet, etc) for quarterly Board Finance Committee meetings. -- Tracking PENCIL's investment accounts, which are managed by outside investment professionals. -- Developing and monitoring budgets in conjunction with each Department Head as well as with the President. -- Working with PENCIL's independent auditor to prepare the annual audit as well as the annual filing of Form 990 and Attorney General registration. -- Liaising with PENCIL's full-service insurance broker on employee benefit and human resources issues, while also maintaining up to date personnel records. -- Managing a variety of outside vendors (office equipment, cleaning, IT, payroll, etc.) to ensure that PENCIL receives the highest quality service at the fairest price. -- Overseeing the Office Manager/Receptionist and developing office management systems to ensure smooth office administration. -- Developing and overseeing PENCIL's processes for procurement and day-to-day expenditures.

The ideal candidate will have: 1. A positive, friendly, and collegial attitude and a desire to work in a fast-paced environment. 2. Thorough knowledge of fund accounting and not-for-profit finance in general. 3. Excellent organizational and problem-solving skills, including the capacity to coordinate details, multi-task and generate creative solutions. 4. Ability to work independently and as part of a cross-functional team. 5. Bachelor's Degree or equivalent educational and work experience. 6. High standards of excellence. 7. A demonstrated interest in PENCIL's mission and commitment to public education.
